ISYM Counseling Office

The ISYM counseling office is open all day and is located in the lower level of Wardall Hall (the taller of the two buildings of ISR).

Pre-Arrival

Checklist

  • Make any final payments if you have a balance due.
  • Complete the ISYM Medical Form and submit via the secure upload.
  • For students with any food allergies, intolerances or special dietary needs, be sure to submit the Food Allergy Form to Dining Services (Optional).
  • Prepare your audition. Audition material is linked on the bottom of the program page for each program.
  • Mark your calendar for the final concert.
  • Recommended Packing List and what to bring (below).

What to bring

Instrumentalists
  • Please be sure that your instrument is in excellent condition before you arrive.
  • Bring pencils and a collapsible music stand with your name clearly marked on it.
  • We suggest that students with larger instruments bring a shoulder-strapped case or a small folding two-wheel dolly to transport instruments to and from the rehearsal and concert sites. For very large instruments (euphonium, tuba, string bass, and bari sax), ISYM will provide transportation to the different locations on campus.
  • REED players should bring extra reeds.
  • BRASS players should bring standard mutes and valve or slide oil.
  • STRING players should bring extra strings, mute, and rosin. Cello and double bass players should bring an end pin rest.
  • PERCUSSIONISTS must bring sticks and mallets (for snare drum, mallet keyboards and timpani), practice pad and stand, pitch pipe (or tuning fork) and a small stick tray towel. Students in the Percussion Week program do not need to bring a folding music stand.
  • JAZZ and ROCK PROGRAM DRUMMERS must bring cymbals, sticks and carpet to go underneath. (Drum sets are provided by ISYM in rehearsal spaces).
  • GUITAR AND ELECTRIC BASS players must bring a practice amp for daily rehearsal use and any necessary cords. An amp will be provided for the final concert.

Final Concert Dress

For Choir, Band, Orchestra and Jazz participants: Black dress pants (no jeans) or skirt (knee length or longer); white dress shirt. Dark dress shoes and socks are required (no tennis shoes, please). Pre-college participants should bring appropriate dress clothing for the final concert.

Everyday Clothing

Bring casual yet appropriate clothing for rehearsals and campus activities; suitable attire for RAINY and COLD weather; we suggest bringing at least one dress shirt, pants/dresses for the evening recitals. (Please do not wear jeans or tennis shoes to these events.) Students are strongly encouraged to bring an umbrella as well as sweaters or jackets for rehearsals; AC is COLD on campus! Comfortable walking shoes are also highly recommended.

Do not bring: expensive jewelry, cooking appliances, or excessive spending money ($8-10 in cash per day is a reasonable amount to budget). Students will be able to store money and other valuable items in their locked closet. The University and ISYM are not liable for theft, loss, damage or destruction of personal property.

Participants may not bring or operate any “wheeled” vehicles (including but not limited to: skateboards, bicycles, rollerblades, etc.). Participants must travel on campus by foot during ISYM.

Residents are responsible for keeping their room door locked. ISYM is not responsible for loss of or damage to property, induced accident or injury, costs of improper use of fire alarms and any other expense incurred by the participant while attending ISYM.

ISYM reserves the right to withhold privileges and/or dismiss any participant at any time for any of the following reasons: possession or use of alcohol or illicit drugs, unacceptable dress, vulgar or discriminatory language or improper conduct.

Code of Conduct

Refund Policy

Refunds will be given in the following instances:

The full tuition deposit ($100) refund will be sent to applicants of a closed program or section.
• A partial tuition deposit ($25) and any early payment will be refunded to participants who cancel registration prior to May 15 or do not meet minimum camp requirements
• Cancellations received for participants after May 15 and before 3 weeks prior to the first day of his/her ISYM program will receive a refund of all payments except the $100 deposit.
• No refund will be given to participants under the following circumstances: those who cancel during the 3 weeks prior to the first day of camp, those who depart from camp early, or arrive to camp late.
• Due to costs being set based on enrollment we are unable to offer any other refund options.

General Information Early Arrival / Late Departure

Students may arrive one day early and/or leave one day late for ISYM; additional room charges apply. Please contact the ISYM office (isym@illinois.edu) to make necessary arrangements. Payment for the extra night(s) must be remitted in advance on line or made at the time of arrival. The student will be housed in the room that s/he will occupy during the upcoming session. ISYM counselors will be responsible for the student after check-in on the first day of camp. If arriving early or leaving late, students will be on their own for supervision and meals. Our head counselor will be on call for emergencies.

Student Medical Form

Your ISYM check-in will not be considered complete until the student medical form is received. This form must be on file by the first day of camp. ISYM does not require a physician’s signature on the Student Medical Form, nor is a physical exam required. Pre-existing medical conditions should be noted on the camper’s medical form. If campers are taking medication, please notify your floor counselor. Insulin and similar medications will be refrigerated as required. Campers requiring regularly scheduled dosages or the use of insulin must notify the head counselor at check-in. These medications will be stored in the ISYM office at ISR. ISYM Staff will not administer medical treatments (shots, eye/ear drops, etc.). It is recommended that individual needs of campers be discussed with the floor counselors during the first day of camp. The University and ISYM do not provide medical insurance coverage for participants.

Medical Care

There is always a counselor on “sick call” 24 hrs. a day during camp whom students can report to for any medical needs. First Aid supplies and over-the-counter medications are available in the main ISYM office at ISR. Medical services are available within the Urbana-Champaign area 24 hours a day, including emergency care at Carle Foundation Hospital and Clinic. Those needing medical attention are taken to an urgent care clinic for treatment (in most cases). The ISYM staff will contact you immediately by calling the emergency number(s) given on the medical form. Every attempt will be made to make contact with the person(s) listed on the medical form. In the event one cannot be contacted, ISYM will leave a detailed message whenever possible. In the case of serious illness or medical emergency, the advice of the attending physician will be followed. It is the responsibility of a parent or guardian to pay for any medical treatment given during ISYM. This includes (but is not limited to) medication or prescribed drugs, surgical procedures, and emergency transportation.

Final Day of ISYM

(Breakfast and Lunch provided for resident students)
7:00 am – 12:00 pm Check-out period: Students should plan to check out before their concert. Luggage may be stored at the ISYM Counseling office for pick-up after the concert. If the student is checked out, they may leave directly after their concert. Concert schedules are listed online at: https://isym.music.illinois.edu/accepted-students/final-concerts/

Telephones

The University will not furnish telephones for dorm rooms. Participants may bring a cell phone.

Supervision

During the day, participants are supervised by ISYM teaching staff. After 5:00 PM, participants are supervised by ISYM counseling staff that accompany them to evening events and conduct numerous head-checks throughout the evening. Counselors live in the dorms with the participants and are available 24 hours a day for support. ISYM requires all visitors to check-in with the ISYM counseling office to obtain a visitor’s badge. All ISYM participants, employees, and visitors must wear ISYM identification at all times. The Illinois Street Residence Hall (ISR) is staffed 24 hours a day by hall monitors. The front doors are locked 24/7. Only residents and authorized visitors are allowed access. Inside of ISR, participants must swipe their housing card to gain access to the rooms. Boys and girls are housed on separate floors and are only allowed on a same-gender floor.

Food

Breakfast, lunch and dinner are provided at the ISR cafeteria beginning with dinner on Sunday and ending with lunch on Saturday. Many food options are available including fresh fruits, a salad bar, and hot entrees. ISR always offers a vegetarian option. Participants are permitted to keep non-perishable snack foods in their residence hall rooms. Refrigerators are not available to participants, except for medical needs such as the storage of insulin.

Allergies

If you have specific food allergies be sure to file a Food Allergies Form with University Dining Services. Please note that this information goes directly to the dining hall staff and is not necessarily shared with ISYM, so if your child has a food allergy that counselors and/or other students should be aware of, please also include that on the medical form.

Off-Campus Permit

ISYM participants, with the proper authorization, may leave the ISYM designated area for special events (for example, going out to eat with a roommate and roommate’s parents). Parents must complete the “Permission to Leave” form on the first day of camp and submit it to the ISYM Counseling Office. A photo ID is required in order to check a student out during ISYM.

Camp Pictures

Professional photographs of each individual ISYM group will be taken during each session. Prints may be ordered through Memory Land Photography. Website and details will be shared during ISYM.

Camp T-Shirts

A special t-shirt with the ISYM logo/design will be provided free of charge for each participant.

Instrument Repair Service

This service is not available through ISYM. If repairs are needed during ISYM, we can arrange to bring instruments to the Music Shoppe in Champaign. Charges will need to be covered by the participant/parent. Our staff is available to transport instruments to a local repair shop for emergencies during camp, if needed. Parents/guardians will be responsible for the repair costs.

9:00-11:00 am: Arrival and Registration at ISR
9:00- noon: ISYM Placement Auditions (times/location assigned in registration line)
11:30 am: ISYM parent meeting for commuters– Location varies by week.
12:00 pm: Lunch on your own. Dorm meals for students begin Sunday evening with dinner.

1:30 pm: ISYM parent meeting for resident campers– Location varies by week.

Parents are free to leave after the parent meeting and lunch.

1:30 pm: Campus Tour for all campers. Meet in your floor lobby. Commuters can participate with assigned floor counselor. Parents are free to leave at this point.
2:45 pm: Audition results posted in ISR Lobby!
3:30 pm: First Rehearsals/Meetings. Counselors will walk you over!
5:15 pm: First Head check and dinner. First meal provided by ISYM.
7:00 pm: Student Orientation Meeting, Smith Memorial Hall.

Here is what you can plan on when arriving at ISYM

  • Arrive between 9:00 am and 11:00 am. Registration runs from 9:00-11:00 am and students are registered and given an audition time in order of arrival.
  • Park carefully!
  • Upon arrival, students should bring their instrument with them, but leave luggage with parents until after they have checked in. A parent may accompany their child through the registration line.
  • In the registration line, students will receive their room and floor assignments, T-shirts, name badge, and audition time and location.
  • After going through the registration line, students can either warm up for their audition in their assigned space or move into your dorm room depending upon assigned audition time. All students will be given an audition time that allows time for warm up. Most students will audition first and then move into their room.
  • When moving into dorms, only one parent on the floor at a time.
  • You will receive a “Welcome Downbeat” newsletter in the registration line. Refer to this for the rest of the Sunday schedule.
  • Late check-ins: proceed to the ISYM Counseling Office (Room 113 ISR). Registration and late auditions will be taken care of when you arrive.

Parking

Free parking on Saturday and Sunday is located in the adjacent lot next to ISR (D-9) and in the Krannert Center for the Performing Arts. Metered parking is free on Sunday ONLY.
Read all signs and meters to determine parking restrictions/enforcements. ISYM is not responsible for fines.

Where to go for help

Check-in Line handles check-in, any final payments due, collecting medical forms and distributing keys, ID, meal cards, and t-shirts. Parents may accompany their child through the line.

The Counseling Office handles issues related to room assignments, elective assignments, and general questions.

Feel free to ask the ISR reception desk for help, but generally ISYM questions may be answered at the info table in the lobby or at the counseling office.

Information for Resident Students

(LIVING IN THE RESIDENCE HALL)

  • BEDDING/TOILETRIES, ETC: Bed linens, blankets, bath towels, washcloths, pillows and pillowcases are furnished.
  • Resident students will need to bring their own toiletries (tooth brush, toothpaste, shampoo, conditioner, etc.,). Please mark towels and articles of clothing, etc. New towels can be requested once a week at the front desk.
  • Laundry facilities are available at ISR and there is no charge to use them. If you plan to do laundry during your stay at ISYM, please bring your own washing machine soap.
  • Participants are encouraged to bring an alarm clock.
  • It can be chilly in the air-conditioned dorms; it’s highly recommended that you bring an extra blanket or comforter from home.
  • Keys will be returned at checkout or a lost key fee of $50 per key will be due at that time.
  • Illinois Street Residence Halls have been renovated and now feature “individual use” bathrooms with toilet, sink and shower in a lockable room.

Information for Commuters

  • Students may be dropped off at the building where their first class/rehearsal meets, and may be picked up at the location of their last class/rehearsal.
